What a Leadership Dashboard Should Actually Show

Most dashboards are built to impress. They show large numbers, colourful charts and every metric the system can produce. Leaders look at them twice and then go back to asking for briefings.

A dashboard earns a place in a leader's morning only if it answers three questions quickly: what is going well, what is going wrong, and what is waiting on me.

Show exceptions, not just totals

A total tells you the size of the organisation. An exception tells you where to act. 41 delayed projects is more useful than 412 projects, provided you can see which 41 and why.

Every number on the screen should lead to a list, and every item on the list should lead to the file behind it. If a number cannot be questioned, it will not be trusted.

Put time on everything

The most useful field in any system is often the simplest: how long has this been waiting? A payment approval that is six days old is a different conversation from one that arrived this morning.

Sorting by age turns a long list into a short agenda.

Make the leader's own queue obvious

Governors, ministers and chief executives are part of the process too. Approvals, consents and signatures wait on them. A good dashboard shows those items first, with the oldest and largest at the top, so the leader's own desk is never the bottleneck.

Data must come from the work, not from reports

A dashboard fed by monthly reports is a monthly report with better colours. The figures should come from the system where the work happens, so that when a desk passes a file or a field officer uploads a site report, the dashboard changes.

That is the difference between a reporting project and an executive intelligence system. The first summarises the past. The second shows the present.

A simple test

  1. Can a leader understand the screen in under a minute?
  2. Can they see what is late, and why?
  3. Can they see what is waiting on them?
  4. Can they open any number and see the files behind it?
  5. Did the numbers change since yesterday without anyone typing a report?

If the answer to all five is yes, the dashboard will be used.
